Once an override is requested, a User who has been set up to approve or decline an override will receive an email notification with the details about the override.

Approving an override


  1. The User who will approve or decline an override is to open Outlook.

  2. Click or double-click the email that has a subject line Discipline Override Request to open it.



    The email opens on the right-hand side of the screen with information about the sender, receiver, and all details about the override request.

  3. To open the Document that needs an override approval, click the text link here in the Click here to view text.



    The related document will open on the user who will approve or decline an override in Chase.  The document will state Override Request on the Workflow button on the Toolbar.

  4. To approve an override request, click the Override Action button 



    The Approve/Decline Request dialogue appears.  This dialogue will allow you to open any supporting attachments, and either approve or decline the override request.  You will also be able to see the document name, number and date the document was created.

    The Override request for discipline: Approved CE Funding PO section shows details about the override and you are able to enter an Override Value. 

    An override value is an amount specified by the approver, this amount can be more than the requested amount on the override. For example, a user requested an override of R1050 which is greater than the estimated amount on a CE. The approver of the override can provide R1200 extra for the override value however, if the user spends more than this amount another override can be requested.

  5. In the Override Value field, enter the value of the new budget for this PO.

     

  6. Click the Approve button.



    Once the override is approved the document status will change to the status intended by the originator (eg. Checked or Issued).





Declining an override


  1. The User who will approve or decline an override is to open Outlook.

  2. Click or double-click the email that has a subject line Discipline Override Request to open it.



    The email opens on the right-hand side of the window with information about the sender, receiver, and all details about the override request.

  3. To open the Document that needs an override approval, click the text link here in the Click here to view text.



    The related document will open on the user who will approve or decline an override in Chase. The document will state Override Request on the Workflow button on the Toolbar.

  4. To decline an override request, click the Override Action button.



    The Approve / Decline Request dialog appears. This dialog will allow you to open any supporting attachments, and either approve or decline the override request. You will also be able to see the document name, number and date the document was created.

  5. Enter a reason for declining the override in the Notes field.  



  6. Click the Decline button.



    The status of the document will change to Declined and a notification will be sent to the override requester communicating the reason.  The user may then either take corrective action and resubmit for approval, or cancel the document.
