Step-by-step guide

Assigning Tasks on a Job Bag

Here's a visual demonstration for assigning Tasks on a Job Bag

  1. Open the Job Bag from which you want to assign tasks.
  2. Select the Tasks tab if it hasn't already been selected, and then click the Add button to add a new line record under the Tasks tab.

A new Task row will be added to the bottom of the list for editing.

  3. Click on the drop down arrow on the Task Type field, and select a task from the list.
In this example, Brainstorming/briefing was selected.

If the Task that you want to assign is not available in the list, speak to your Chase Administrator about adding it.

  4. Once a task is selected, you need to select the user or team that will be assigned to this task in the Assigned To field.

If the Task is being assigned to a single user, select the user from the list, or if the user is part of a Traffic Team, select the team from the list.

In this example, Design and Creatives team and Mpho Thulo the traffic controller were selected from the list.

  5. Click on the calendar in the Start Date field and select the date on which the Task must start.

By default, the start date and finish date will automatically populate according to the current date.

In this example, 23 September was selected.

  6. Click in the Finish Date field and select the date by when the Task must be finished.
In this example, 23 September was selected.

  7. Enter the number of hours allocated for the Task to be completed in the Allocated Hours field.

The value in the Actual Hours field will be automatically populated once the user allocates time against their Task in Timesheets.

  8. To allocate more tasks to users follow the steps above and allocate time for the task, and then click the Save button.

Reassigning a Task on a Job Bag

You would typically reassign a Task if an incorrect user has been selected, or the user has been overbooked and assigned with too many tasks.

A Task can be reassigned to a different user on condition that time has not been captured against that Task.  If any time is captured against a Task, it cannot be reassigned.

You can reassign a task from the Job Bag or Cost Sheet (To Job Task).

Step-by-step guide

Before reassigning a task, ensure that time has not yet been captured against that task.

Here's a visual demonstration for reassigning a Task on a Job Bag

  1. Open the Job Bag that you want to reassign tasks on.
  2. Delete the name in the Assigned To field against the Task line you want to reassign.

In this example, the task is currently assigned to Adam

  3. Click on the drop down arrow in the Assigned To field, and select the employee to reassign the Task to.
In this example, Mark Jackson was selected.

The selected user will see the task on the Home page in the Tasks list.

  4. Click the Save button on the Toolbar once satisfied with the changes made.
