Outlook allows you to create a group of users from where you can see their combined schedules, and do things such as book a meeting during everyone’s available time.

Creating a Calendar Group from the Ribbon 


  1. With your Outlook Calendar open, click the Calendar Groups button on the Ribbon.



  2. From the drop down that appears, select to create a new group or save the currently displayed calendars as a new group. 

    In this example, Create New Calendar Group was selected.



  3. On the Create New Calendar Group dialog, enter the name of the new group in the field and then click OK. 

    In this example, Creatives was entered.



    The Select Name dialog appears.

  4. Search or select the Users you want to include in the new group.

    In this example, Absolom SelindaAshraf Titus and Bilal Kader were selected. 

  5. Click the Group Members button.

  6. Click the OK button.



    The group is added on the Folder Pane. 

    You can view an individual or group's calendar, which will allow you to create bookings for the entire group or individual. This is done by selecting the checkbox next to the group's name or person's name.  You can also collapse, expand or reorder groups.

  7. If the Folder Pane is not visible, click the expand folder pane arrow and pin it in place.





Creating a Calendar Group from the Folder pane


  1. With your Outlook Calendar open, right-click any calendar on the Folder Pane and select New Calendar Group.



    A new group is added. 

  2. In the entry field, enter the name of the group.

    In this example, Creatives was entered.



  3. To add User's to this group, right-click on the new group, select Add Calendar and click From Address Book.



    The Select Name dialog appears. 

  4. Search or select the Users you want to include in the new group, and then click the Group Members button.

     In this example, Absolom SelindaAshraf Titus and Bilal Kader were selected.

     

  5. Click the OK button.

    The group is added on the Folder Pane.
