Templates are predefined documents that contain commonly entered information from which new documents of that type can be created. 

A Brief template is created from an existing Brief that has common details that you frequently use. Note that Templates do not store header information such as Client name, status or element, as these are unique to each document.  But they do remember the text details entered in the reference field and body of the document for BriefsAmendments, and Billing Instructions. You can also link the Brief to a specific job category if you only want that template to be used on jobs with the same category.

Creating a template from an existing Brief


Here's a visual demonstration for adding a Brief Template



  1. Open the Brief that you want to create a template from, click the More button on the Toolbar and select Create Template.



  2. The Create Template dialog appears. Enter a name in the Template name field.

    Shared across all Companies - if checked, all companies will be able to use the template. If unchecked, the template can only be used when logged into the current company.


  3. Optionally select the Job Category that you want to link the new template to and click the OK button.

    If selected, the template can be used on all Jobs that have the same Job Category. 




    The Template will be available when creating the same document type from the Template Name section of the Add New dialog and on the Apply Template list. 


         



Applying a Brief Template

You can apply a template when you create a brief, or once the brief has been created. These steps show you how to apply the template after the brief has been created.  See Adding a Brief on how to apply a template when creating a brief. Once a Brief has been applied, you can then edit the reference field and body of the document as required.

  1. Open the brief that you want to apply a template to and click the More button on the Toolbar.
  2. From the drop down list, select Apply Template and select the template that you want to apply.



    An Apply Template dialog appears with a warning that all existing Notes (ie. reference and content area) will be removed and replaced with those in the template. 

  3. If you do not wish to proceed click the No button, otherwise click Yes to apply the template.



    Notice that the reference field and the content area has changed to display details from the applied template. 

  4. Make all the necessary changes to the template, and then click the Save button.


Update an existing Brief Template

To update a Brief Template, you will have to apply the template to a brief, make the necessary changes, then overwrite the template with your changes.

  1. Create or open a brief which can be used for editing purposes, and apply the template you wish to update.




  2. The template is applied. Make all the necessary updates to the brief content and click the More button on the Toolbar, then select Create Template.



  3. The Create Template dialog appears. Enter the exact same name as the template you previously applied and click OK.



  4. A dialog appears, informing you that there is an existing template with the same name. By clicking OK, you're confirming that you want to update the existing template with the new details, overwriting the previous version.

    If you created the brief above specifically for this purpose, you may now cancel, delete, or repurpose it.
