Step-by-step guide

Editing a Booking via Outlook

If Bookings are created in Outlook it is best to edit them in Outlook.  This will allow Bookings to be updated on the Resource Planner and in the assigned User's mail.  If Bookings are created in Outlook and edited on the Resource Planner, the assigned User's calendars will not be updated.

  1. With the Outlook Calendar open, double-click the Booking you want to edit.

In this example, Client Meeting was selected.

A pop up window of the Booking appears, from where you can edit the Job Number, Task name, add and remove recipients, and change the time and date.

  2. Click on the drop down arrow in the Start time field and select the new time.

In this example,12:00 PM was selected.

  3. Click the drop down arrow in the End time field and select the new time.

In this example, 01:30 PM was selected.

  4. Click the Send Update button.

The Booking will be updated in the assigned user's mail and on the Resource Planner.

Declining a Booking via Outlook

Chase allows users to decline a Booking request if they are fully booked, or not available on that day.  Once a Booking is cancelled, the recipient's name will be removed from the assigned Booking.

Calendar to Chase: If the attendee/recipient declines the meeting sent via Outlook, the Booking will be removed from the User’s calendar and not in Chase.  However, the User's name will be removed from that Booking in Chase.

Chase to Calendar: If the attendee/recipient declines the meeting sent from Chase, the Booking will be removed from that Job Bag/Resource Planner and on the User’s calendar.

  1. With the recipient's Outlook open, click the Decline button to decline the Booking request.

  2. Click Send the Response Now from the list of options that appear.

Once declined, the User who requested the meeting will receive an email that you have declined the Booking.  And your name will be removed as the assigned User of the Booking in Chase.

Cancelling a Booking via Outlook

Bookings created via Outlook cannot be cancelled or edited in Chase.  They need to be cancelled in Outlook by the organiser of the meeting.  If the meeting organiser cancels a booking sent via Outlook, it will remove the Booking from the assigned User’s calendar, as well as on the Resource Planner/Job Bag.  This will also remove the Booking from the assigned User's list on the Auto-Fill time dialog.

  1. With Outlook Calendar open, select the Booking you need to cancel.

In this example, Client Meeting was selected.

  2. Click the Cancel Meeting button on the Ribbon.

A pop up window of the Booking appears.

  3. Click the Send Cancellation button.

Changes will be automatically forwarded to the assigned users and reflect on the Resource Planner in Chase.
