You can limit the Task types available to Users by Department.  If a User belongs to a certain Department, they will only be able to view and capture time against Task types that belong to that Department. 

However, in cases where Users are assigned Task types by Traffic that are not from their Department, they should not be restricted from capturing time on those assigned Task types.  This will allow specific Users to have access to Task types outside their Departments.

Setting up Task types by Department

  1. Click the Settings button on the Ribbon.

    The Configuration screen appears.

  2. Click the Task Types item on the Configuration tree.

    The Task Types screen appears. 

  3. Click the drop down arrow on the Department field against the relevant Task type, and select the Departments that can view that Task type.  

    Task types can belong to one or more Departments. 

    In this example, the Creatives and Design House departments were selected against the Concept origination Task type. 

    Task types that are not categorised under any Department will be available to Users across all Departments by default.

  4. Click the Save button.

Giving a User access to Task types from other Departments

  1. Click the Settings button on the Ribbon.

    The Configuration screen appears.

  2. Click on the Resources group on the Configuration tree to expand it.

  3. Select Users.

    The Users screen appears. 

  4. Click on the Advanced Edit button against the relevant User.

    In this example, the Advanced Edit button was selected for Barry McGraw

    The User Details dialog appears. 

    If an employee does not belong to any Department, the Department field will be empty, and the Other Dept. Task Types field will be disabled.

  5. Click the drop down arrow on the Department field, and select the relevant department from the list.

    Once a Department is selected, the Other Dept. Task Types field becomes available.  This field displays a list of Task types from other Departments. 

  6. Select the Task types that this User should have access to.

    In this example, Brief Writing and Concept Development were selected from the Other Dept. Task Types drop down list.

  7. Add all the necessary information, and then click the OK button.

  8. Click the Save button to save your changes.

    The selected User can capture time on the Traffic assigned Task types that are not from their Department.
