The Inter-Division Transfer functionality is used to move funds between Business Units and Work Types.

Moving funds to another division creates a credit note to a “Transfer” client with the original worktypes and business units to reverse the value that you're moving, and a tax invoice to the Transfer client with the new worktypes and/or business units so that the value is effectively transferred to the correct division.

The Documents will have the same details as the Tax Invoice and Credit Note, but will be entitled Tax Invoice - Transfer/ Credit Note - Transfer. This is used to differentiate between the normal Invoice/ Credit Note.

Some setup is required in order to use this functionality.

Below are steps to show you how to use the Inter-Division transfer functionality.

Step-by-step guide

  1. Open the Tax Invoice from which billings will be transferred. Click the Shortcut Menu and select Transfer Billing.

The Transfer Billing Between Documents dialog displays all line items listed on the Tax Invoice from which the wizard was launched.

  2. Select the New Worktype. This is the Work Type you want to transfer to.

  3. Select a New Business Unit to which billings will be transferred.

If you do not have rights to add a new business unit, this column will be grayed out. For more details on where this can be set up follow this topic: CopySetting up the Inter-Division Transfer functionality
  4. Enter the amount to be transferred in the New Amount field, and repeat step 3-5 to enter details for the rest of the line items.

  5. Click the Finish button.

A confirmation that the billing transfer has completed appears with details of the transferred document numbers as well as the Work Types, Business Units and Amounts affected in the transfer. Please note that this process will create a new Tax Invoice and Credit Note with the Transfer text added to differentiate the original Tax Invoice and the new Invoice.

The green check mark to the right of the job shows that the transfer was successful.

  6. Click the Close button.

You will be navigated to the Tax Invoice where you launched the Transfer Billing wizard from.

  7. To view transferred documents, click the Shortcut Menu and select View Transferred Documents.

The View Transferred Documents dialog appears with the Invoice and Credit Note Transfer.

  8. Click the Job icon to be navigated to the desired document.

  9. The Tax Invoice Transfer screen appears with all line items displayed.
